Administration assistants carry out routine administrative tasks that support the effective day-to-day operation of an organisation.
The occupation is found across the public, private and third sectors and in organisations of all sizes. Administration assistants work under supervision and follow established processes and procedures to complete tasks accurately, securely and within agreed timescales.
Their work may include communicating with internal and external stakeholders, supporting meetings and events, maintaining records, entering and retrieving data, producing documents, managing calendars and booking systems, monitoring resources and providing general support to colleagues.
Administration Assistants use digital systems and software to process, store and share information. They must work professionally, protect confidential and sensitive information, identify and escalate issues, respond positively to feedback and adapt to changing organisational priorities.
The Assessments
The apprenticeship will include two assessment methods:
- Portfolio of Evidence
- A second assessment method, which is still being determined
The apprentice will compile a portfolio that demonstrates how they have applied their administrative knowledge and skills within their workplace.
The portfolio may include appropriate evidence generated through the apprentice’s normal work activities. The precise evidence requirements, submission arrangements and assessment criteria will be set out in the BIIAB assessment specification and supporting guidance.
BIIAB is currently developing the detailed assessment arrangements for this standard. Further information about the professional discussion, the second assessment method, assessment requirements, timings and grading arrangements will be published once confirmed.
The apprenticeship standard and assessment plan can be found here Administration assistant / Skills England
Gateway to Completion Requirements
Before the apprenticeship can be completed and the apprentice’s certificate requested, the following requirements must be met:
- all required apprenticeship assessments must have been completed as above,
- the apprentice must have met the English and mathematics requirements that apply under the current apprenticeship funding rules,
- the employer, in consultation with the training provider, must be satisfied that the apprentice has achieved the knowledge and skills required by the occupational standard,
- the employer must confirm that the apprentice has sufficiently demonstrated each of the behaviours set out in the occupational standard, and
- any other completion requirements set out in the apprenticeship standard, assessment plan or BIIAB assessment specification must have been met.
The apprentice’s behaviours should be reviewed throughout the programme through normal workplace supervision, feedback, progress reviews and performance management arrangements.
Behaviours do not contribute to the apprenticeship grade. However, the employer must confirm that they have been sufficiently demonstrated before the apprenticeship certificate can be requested.
